In this context, the District Magistrate (DM) of Bhagalpur convened a highly important high-level review meeting in the collectorate auditorium with all senior district officials, police administration officers, incharges of various cells, and key municipal corporation officials. The main agenda of the meeting was to make security arrangements, traffic management, drinking water, sanitation, and seating and other facilities for the general public (viewers) flawless at the venue.

Kicking off the meeting, the District Magistrate clearly directed that this year's event must be splendid not only administratively but also in terms of public participation. Special guidelines were issued to officials to ensure that ordinary citizens, women, senior citizens, and children arriving at the venue do not face any form of inconvenience.
The district administration has issued directives to foolproof the following arrangements for the public at the venue:
Drinking Water and Sanitation: Keeping the scorching sun or humid weather in mind, sufficient drinking water counters and fully functional mobile toilets will be established across every nook and corner of the venue. The municipal corporation has been instructed to maintain continuous cleanliness in and around the site.
Smooth Seating Arrangements: Separate enclosures will be constructed for the general public and invited guests. Large marquees and waterproof tents will be erected to shield against the sun, enabling spectators to enjoy the programs without any discomfort.

Robust Security Arrangements: Police forces, magistrates, and female police personnel will be deployed at every vantage point in and around the venue. High-definition CCTV cameras will be installed across the entire premises to keep a sharp eye on antisocial elements, with live feeds linked directly to a control room.
Traffic and Parking Plan: To combat traffic congestion in the city, plans for heavy vehicle entry bans and route diversions have been formulated. Distinct parking zones have been designated across various parts of the city for vehicles belonging to attendees, ensuring people experience no difficulty in parking.

During the review meeting, the District Magistrate evaluated the tasks of all concerned departments one by one. He cautioned that assigned tasks must be completed within stipulated timelines and with utmost quality.
